Association By-Laws

ARTICLE I
DUTIES OF THE ELECTED AND APPOINTED OFFICERS

SECTION I- ATHLETIC DIRECTOR

The Athletic Director shall: Preside at all meetings of the CYO Board. Act as official spokesperson for St Albert the Great CYO. Direct all activities of the Association. In conjunction with the Sports Commissioners, be responsible for scheduling, setting practice schedules and budgeting the cost for each sport. Upon receiving all the information on any dispute, will then present the facts of the situation to the CYO Board for a decision. Be a representative or appoint an alternate representative to all Archdiocesan meetings. Make copies of the Handbook for all Parish Officers. Maintain a complete inventory of all athletic equipment. Determine the teams needs and report to the Board for necessary replacements. In conjunction with Sports Commissioners, organize teams for all programs. Be responsible for the maintaining published game schedules and distribute to the coaches prior to the start of the season. With the Sports Commissioners, be responsible for the interview, screening and selection of all new team coaches. Assist the Sports Commissioner in checking carefully all rosters to insure that a team is composed correctly and in accordance with CYO guidelines.

SECTION II - SECRETARY

A. The corresponding Secretary shall coordinate all meetings with the members of the Association.

B. Keep a calendar of all Association activities. Shall represent the Association at the Archdiocesan CYO meetings should the Athletic Director or Assistant Athletic Director be unable to attend. Shall be responsible for the records of the meetings, and also the highlights of the minutes, such as motions being made, seconds, and names of the persons making such. The minutes will contain only the pertinent facts of the previous meeting and distributed to those present.

SECTION III - TREASURER

The Treasurer shall: Keep complete records of bank accounts, savings accounts, pay all bills. Coordinate with the Athletic Director & Sports Commissioners the amounts of assessments for the various sports, depending on the number of teams. Assist and provide guidance to the members on the proper reporting/collecting information or monies required by the Parish and assist in Parish fee schedules. Render a monthly account of financial activities of the CYO to the Board. Provide payment of the services to contracted associations, vendors and other obligations. Be required to be aware of functions and sport events to properly maintain accounting of the finances, i.e. gyms, fields, fundraisers, etc. Persons authorized to sign checks should not be related.

SECTION IV- ASSISTANT ATHLETIC DIRECTOR (2)

The Parish shall have an elected Assistant Athletic Director Minister to assist the CYO in the development of the Parish Team Ministers and the duties to foster faith development. In conjunction with the Athletic Director, rule on all sport related problems and/or concerns. Actively recruit team ministers for each team and inform them of the responsibilities and duties as ministers. With the Athletic Director & Sports Commissioner, be responsible for the interview, screening and selection of all new team coaches.

SECTION V- SPORTS COMMISSIONER

The commissioners of sports may be appointed by the Board to assist the Athletic Director in the discharge of the duties of the Athletic Director. Each Sports Commissioner, in conjunction with the Athletic Director shall be responsible for:

A. Formation of sports division or divisions.

B. Ascertain number of teams.

C. Contacting the teams if there are schedule changes.

D. Abide by Archdiocesan CYO recommended starting and closing dates.

E. Assist in acquiring necessary facilities approved by the board. Assist the Athletic Director in whatever player eligibility problems might arise. Work with the Regional Coordinators to assure the smooth operation of, and complete coordination of all scheduling, changes, standings and award programs.

F. Commissioners must collect team registration fees prior to the start of their sport season.  Commissioners may not use registration fees to offset additional costs, such as uniforms or equipment fees.

 

G  Commissioners must submit to the Treasurer & Athletic Director written budget proposals for equipment and uniform needs at least two months prior to start of signups. 

H. Commissioners must notify the treasurer in advance of any expenditure..

 

SECTION VI - AT LARGE MEMBERS

A.     At-large members have no specific duties but may be appointed to serve on committees at the discretion of the Board.

SECTION VII - SUSPENSION

A.     If at anytime a CYO Member violates this Constitution or By-laws, said Member will be placed on suspension from the Association indefinitely by the CYO Board.

 

SECTION VIII – VOTING PRIVILEGES


A. If a member misses three meetings then that member shall forfeit their voting privilege for that year.

SECTION IX – MEETING ATTENDANCE


A. Board members are required to attend a minimum of 4 monthly meetings per year.
